Appointment process for academic positions

This happens with your application from the time you submit it until the position is filled.

Confirmation

All applicants receive a confirmation that the application has been received.

Applicant list

  • If you want to see the list of applicants, you can ask the contact person stated in the job advertisement to send it to you.
  • If you have requested to be exempted from the public applicant list, you will be notified if UiO needs a detailed justification or the request is not granted.

Specifically for professor and associate professor positions

Screening committee

When we expect many applicants for a position, we will in the announcement in the first instance invite applicants to send concise applications that are considered by a sorting committee. The sorting committee will select a limited number of the best qualified applicants to submit a complete application with scientific work. The assessment committee will still have access to all applications received and may request that more people submit a complete application later.

Assessment committee

A professionally representative group, normally three people, assesses the academic qualifications and formulates a written assessment. All applicants will receive information about who the group consists of. The assessment committee shall rank the best qualified applicants. The committee normally has a period of three months to carry out its assessment. When the assessment is available, it will be sent to the applicants who have the opportunity to make comments and clear up any misunderstandings. The assessment committee's assessment will follow the case to the appointing body and is a central part of the overall assessment basis.

Specifically for university lecturer positions

To assess the applicants, a committee is appointed which prepares the case for the appointing authority and makes a recommendation. The committee normally consists of the head of department or deputy, a academic employee from the academic community and a student representative. In principle, applicants are assessed on the basis of an application, CV, list of publications, as well as attached certificates and diplomas. When necessary to distinguish between the best-qualified applicants, applicants may be asked to submit scientific papers, and an assessment committee may be appointed to assess those papers.

Specifically for PhD and postdoc positions

In many cases, the appointment process for these positions will be somewhat simpler than for other academic positions, and greater emphasis will often be placed on project descriptions. Some faculties also distinguish between the academic assessment committee and the interview committee for these positions, while other units only appoint one committee to carry out the entire assessment. Interview, reference interview and trial teaching

The best qualified candidates will normally be called for an interview, and in many cases also trial teaching if the position involves teaching. References you have provided can be contacted. This usually happens after the interview. Interview, reference interview and trial teaching are a supplementary assessment basis in addition to the expert assessment.

Recommendation

Who is the recommending authority varies depending on the job category and local organisation. The recommending authority makes a comprehensive assessment based on the requirements in the position announcement and makes an overall ranking of the best qualified applicants. The ranking here is based on the entire assessment basis and may therefore be different from the assessment committee's ranking. The recommendation becomes the starting point for the appointment body's processing of the case.

Appointment

  • The appointing body makes decisions on appointments. Both the recommending authority and the appointing body shall ensure that the case processing has been correct and may ask additional questions/ask the committees to elaborate or re-evaluate. If this causes the process to be delayed, applicants must be informed. Minutes from meetings of the appointing body are open for inspection and are usually posted on the website of the faculty/department.
  • When an appointment decision has been made, a letter of offer is sent to the person being offered the position.
  • When the position is filled, information is sent out to the other applicants.
