Update on extension of employment period for research fellows and postdoctoral research fellows

Absence after July 1st, 2023

Starting from July 1st, 2023, there will no longer be a requirement that absence qualifying for an extension must have a duration of at least two consecutive weeks.

Instead, UiO will extend the employment period for research fellows and postdoctoral research fellows corresponding to the length of legally and collectively agreed upon absence, starting from the first day of absence.

Examples of absences that qualify for extension are:

  • self-reported illness
  • brief medical sick leave
  • compassionate leave
  • leave due to illness of children.

Extension for registered legally and collectively agreed upon absences will be granted automatically and do not require an application.


Absence before July 1st, 2023

For absence with a duration of less than two consecutive weeks that occurred between January 1st, 2018 and June 30th, 2023, UiO will grant extension if the absence was due to caregiving responsibilities. Examples of absences that qualify for extension include:

  • leave due to the illness of children
  • short care leaves.

During the pandemic, when the university and schools/childcare facilities were closed (from March 13th to June 1st, 2020), UiO chose to deviate from the regulation's requirement that absences must be consecutive. Research fellows and postdoctoral research fellows who were granted extensions during this period due to caregiving responsibilities will not receive extensions for such absences again.

When considering whether an extension should be granted, registered absences due to caregiver responsibilities recorded in UiO's salary and personnel system are taken into account. As a main rule, unregistered absences do not grant the right to an extension.

If special circumstances have resulted in absence not being registered, it may be considered to grant an extension if the absence can be documented in another way. Research fellows and postdoctoral fellows who believe they have had absences related to caregiver responsibilities for which they have not received an extension are requested to contact their local unit.

Failure to register an absence because the absence was less than two consecutive weeks is generally not considered a special circumstance in this context.
