Registrer services

Does your lab offer any services based on requests, for example sample analysis? Such services can be registered in BookitLab and the customer can simply send a request form to order a service and follow the status of the work.

Create a new "Custom Form"

Services can be ordered by a request form. Each and every type of service needs its own request form that is customised according to the purpose of the service. 

  1. Click "ADMIN PANEL" at the bottom of the navigation menu on the left-hand side.
  2. Click "REQUEST TYPES" on the navigation menu and then "Custom Forms" right under "REQUEST TYPES".
  3. Press "Add New" button right below the table of the forms. 
  4. Fill in a name of the form that you would create. 
  5. Press "Continue" button. Then you will be brought to an editing page of the form. 
  6. On the "Custom Form Details" section;
    • Check "Active" field.
    • Choose your "core".
  7. Add a field by clicking "+" button ("Add Item" ). 
    • Set the field name at "Title".
    • Configure the settings of the field, for example,
      • type of the field (text, multiple choice, check box, dropdown list, date, etc.),
      • whether or not the field is obligatory,
      • dependency on another field,
      • help text. 
  8. Add headings for new columns.
    • The form has "Request Lines". For example, if a user brings several samples for analysis, the user is supposed to fill in necessary information for every sample. 
    • Choose "Create a New Item" on "Add a New Column" section.
    • Fill in the column name (heading) and press "Next".
    • Configure settings of the column.
    • Continue adding more columns if necessary. 

Create a new "Request Type"

For each type of a service, "Request Type" needs to be created. "Request Type" defines among others which price category is to be used, settings around invoicing, and which form is to be used.

  1. Go to "ADMIN PANEL" at the bottom of the navigation menu on the left-hand side. 
  2. Click "REQUEST TYPES" on the navigation menu and then "Request Types" right under "REQUEST TYPES".
  3. Press "Create New Request - related asset" button below the table. 
  4. Fill out relevant information on the form.
    • To make an invoice based on "Price Sheet", "Instrument Price Category" needs to be selected from the dropdown list. 
    • To make an invoice based on mile stones, "Instrument Price Category" field needs to be empty. 
    • NB! On "PROJECT IS REQUIRED"-field, "Always" needs to be selected. Other alternatives cause that the request status cannot be changed to completed. This problem is already reported to the service provider, and it is hopefully to be fixed within 2024.
  5. Press "Insert" button when all the necessary information is provided.
