Share information safely and correctly

Have you considered where and how to store documents and other information? Do you need to share information? Some time ago, UiO launched the Data Storage Guide, and now the Data Sharing Guide is also available.

Why guides for storage and sharing?

Everyone who handles data and information is responsible for handling and processing it correctly. Data in this context usually refers to the content of documents, recordings, images or other information. The information may contain various things, and all information must be handled correctly, depending on what it is.

If the information contains data with protection needs, such as personal data, it cannot be stored and shared anywhere. To help identify what kind of data we are dealing with, UiO has created a guide for classifying data and information. We divide data and information into four classes: Green (open), Yellow (restricted), Red (confidential), and Black (strictly confidential). If you store or share information incorrectly, protected data may be compromised, with the consequences that follow.

The UiO Data Storage Guide

Some time ago, UiO launched the Data Storage Guide. It describes the systems and programs in which you can store information and is based on the information classes described above. Here you can easily check where you can store information legally and safely at UiO. For example, can you store information classified as Red (confidential) in Canvas and OneDrive? The answer can be found in the Storage Guide, and the answer is no. In the guide, you can easily find where you can store such information instead.

And now – The Data Sharing Guide

Jes, now the Sharing Guide is here. It is based on the same information classes as the Storage Guide, but it describes how and where you can legally and safely share information. We do not live and work in a vacuum, and we share information all the time, both for collaborative writing, feedback, reporting, and much more. So, if you're going to share information, start with the data classification guide. Once you've determined which class the information you want to share belongs to, you can then move on to the sharing guide to find out how and where you can share it. It's popular to share documents on Teams, but if you have Red or Black information, the sharing guide will tell you that you need to find another place to share it. Over Zoom, you can share information up to the Red class, but for data classified as Black, you can only use TSD (Services for Sensitive Data) for sharing.
