Reserve an instrument

NB! To book an instrument, you need to be connected to at least one project within BookitLab. 

1. Find an instrument that you want to use. 
2. Find available time of the instrument in either by clicking "+ Reservation" button, from its calendar or on timeline, and click on the date and time you want to book.
   • NB! The "Timeline" section on the dashboard shows only bookings relevant to you. If you are not assigned any special role within BookitLab system, this section shows only your bookings but not others'.  
3. Fill out "Create reservation" form with;
   • the start/end date and time to book, 
   • a project that is to be charged,
   • if applicable, click "More options", select other resources, and fill out other required and optional fields.
4. Click "CALCULATE" button and check the estimated cost for the reservation. 
5. Click "CREATE" button to send the reservation.
   • Some instruments require approval of reservation. You will receive a notification when it is approved. 
   • Some instruments set restrictions for booking. 
     • If you see an error message "You do not have sufficient Reservation Permissions to place the reservation", this means that access to the instrument is limited. For further details of conditions, please contact the "core admin". 

       

     • Some instruments or entire cores require specific trainings before use. In that case, the information about necessary training will be shown as an error message. In some cases, trainings have valid duration and require users to take training session for updating. Contact the core admins for further details.
     • There could be other types of restrictions, such as minimum/max reservation time, or how early/late a booking can be placed (e.g. an instrument cannot be booked more than 1 month in advance, or latest 24 hours before the use). In that case, adjust the booking date and time to place.
6. When the reservation form is successfully submitted, you will see it in the instrument's calendar and timeline.  
   • By clicking the reservation, you will see the details of the reservation as well as its status. Also, you can edit or cancel the reservation. 
   • Instruments may have a cancellation policy, and it may happen that your project is charged for cancellation fee. For more information, contact the core admin.
