Simple trips
All travel, accommodation and car rental can be booked directly in Berg-Hansen's online booking system:
Simple flight travel
You can book a simple flight travel via travel portal or with Berg-Hansen’s travel consultants when needed. If so, please fill out and send a request form (word).
Complex and intercontinental flight travels
If you are traveling abroad on a complex travel route, it is recommended to contact Berg-Hansen’s travel consultants either via bestilling@berg-hansen.no or 08050 as these travels tend to be more complicated and require often specific knowledge. Alternatively, please contact your purchaser/travel arranger for guidance and booking.
Train travels
Train travels are one way to travel sustainable when appropriate and cost effective.
- You can book your next train trip online via portal. At the moment, train bookings are only available for travels in Norway and to Sweden. How to make a booking (norwegian).
- Train tickets within and to Europe can be booked either via your purchaser/travel arranger or one of Berg-Hansen’s consultants. You can also use Entur to book you train ticket. Alternatively, you may also find different travel routes throughout whole of Europe via the German train company Deutche Bahn.
Bus travels
At the moment, Berg-Hansen have no plans to implement booking options for purchase of bus tickets via their online portal. These travels must therefore be booked by each user, in which case please contact one of your purchasers/travel arranger for guidance. Alternatively, you are able to book your travel via Berg-Hansen’s consultants.
Booking of hotel stays
UiO’s frame agreement for hotel accommodation is only available for hotels in Norway. All hotels must hold rules and regulations for environment sustainability, according to the agreement. These hotels are marked with an environment logo in the portal.
Norway
Hotel accommodation in Norway can be booked either via:
- Berg-Hansen’s online portal or one of their consultants regardless of the purchase cost. The payment method will depend on the payment register in your profile.
- Direct hotel booking, in which case please contact your purchaser/travel arranger for guidance.
Universal design principles
Minimum 60% of frame agreement hotels must offer rooms that are allergy friendly and customized to disabled persons. Following are set as minimum requirements:
- The hotel must provide rooms customized for wheelchair users, provide step-free entry way and step-free walk way
- Rooms friendly for allergy prone people must be smoke-free and without rugs
Price conditions
- The frame agreement includes standard room incl. breakfast and Wifi
- A maximum price for a room is NOK 1.900 incl. taxes. Any additional costs or fees are inclusive unless otherwise stated
- Extra person per room will be charged with additional cost
In cases where a confirmed room is no longer available due to overbooking, at the time of arrival, the hotel is committed to provide equivalent or a better room at no cost. Transport to the new hotel must be arranged by the hotel at no cost to the guest.
Hotel accommodation abroad
UiO’s frame agreement for hotel accommodation does not include hotels abroad. Bookings must mainly be done online or with one of the travel consultants.
UiO is responsible for employees’ safety at travel and hotel stays abroad require more logistics compared to Norway. Travel agency is responsible for all aspects of safety during the travel as well as for instance travel arrangements for your journey back home.
Berg-Hansen has its own portfolio of worldwide hotels with negotiated prices and conditions. In cases where a hotel is not available in the portal or via a consultant please contact your purchaser for guidance and booking.
Book via Berg-Hansen app
Berg-Hansen has an app available for easy booking from a mobile phone or tablet. The app ?Berg-Hansen? can be downloaded from AppStore or GooglePlay. See which functions the app offers (berg-hansen.no) (Norwegian).
Travel with Ryanair
It is not possible to book flights with Ryanair in Berg-Hansen's portal as the airline only allows the use of its own channels. Users who wish to book with Ryanair must have their travel approved by their manager before booking.
Trips with multiple stops
Round trips or intercontinental flights with multiple stops can be booked in the Berg-Hansen's travel portal or with a travel consultant (bestilling@berg-hansen.no/ 08050).
We recommend complex trips to be booked via travel consultants, as they often require specific travel knowledge.
Group trips
Group travel is travel where 9 or more persons travel together in a group with the same itinerary. Group travel can be booked via either travel agency's Meeting & Events or your purchaser/travel arranger.
Course and conference
All services related to courses and conferences in Norway and/or abroad can be booked via either travel consultants or your purchaser/travel arranger.
Conferences abroad in particular
It is recommended to contact one of the travel consultants, as these bookings require specific knowledge.
The procedure of a booking is as follows: the user is allocated a dedicated project leader from Berg-Hansen and assisted with preparations, offers, booking and execution of the conference. You will receive three offers from relevant hotels with an estimate of the total cost. You can also choose your preferred hotels if this is desirable and ask for offers from these particular hotels.
Which hotels can I choose?
Both hotels in the portal and hotels of your own choice are available for booking.
Use of taxi
- Consider using an electric car instead of a taxi. This is better for the environment and you do not have to register travel expense claims. You can borrow an electric car for travel during working hours via UiO's electric car pool.
- If you need to take a taxi, some taxi companies provide the option of choosing an environmentally friendly car when booking (electric car/hybrid).
- Before you order a taxi, remember to check UiO's guidelines for the use of taxi cards, and use the attachment taxi invoice (word) when submitting your travel expense claim.
Booking for others
Travel booking role
In accordance with UiO's guidelines for business travel, employees must book their own business travel in the travel portal. Each UiO department has its own dedicated travel booking arranger who is able to book travels for guests and visitors.
Travel bookings that deviate from the guidelines
All travels must primarily be booked online or with one of the travel consultants according to the guidelines for business travel at UiO. Any deviation from the guidelines must be clarified by your nearest leader. If you have any questions regarding UiO’s travel guidelines please contact ap-arbeidsrett@admin.uio.no.
Cancellation/ refund of tickets
Hotel
Cancellation of a hotel stay must be made in writing, directly to Berg-Hansen. Following costs will be invoiced unless otherwise agreed:
- Cancellation up to 60 days prior to booking date charges 30% of the contracted total cost
- Cancellation between 31 - 60 days prior to booking date charges 50% of the contracted total cost
- Cancellation between 15-30 days prior to booking date charges 75% of the contracted total cost
- Cancellation 14 days prior to booking date, or later, charges full contracted total cost
Note: Any cancellation terms more restrictive that Berg-Hansen’s cooperation partners hold, will apply. UiO is held responsible for pay back of any deposits from Berg-Hansen’s partners.
Berg-Hansen is entitled to charge agreed fees for their services in case of cancellations or amendments to the date of the conference or hotel stay.
Flight travels
Berg-Hansen will automatically reimburse fully or partially unused airline tickets within 30 days after the trip should have taken place.
In some cases, this is only a refund of taxes and fees. In other cases, it is either the whole or part of the ticket cost. Berg-Hansen reimburses in accordance with the airlines' reimbursement policies.
